OSM Technologies & Consulting ("OSMTech", "we", "us", "our") is an Alberta-based software development company located in Canmore, Alberta, Canada. We develop and deploy AI-powered business automation software, including PrivateBooks and AI Voice Receptionist services.

  • Clients using PrivateBooks
  • Clients using our AI Voice Receptionist service
  • Individuals who contact us through our website or booking system

3. Information We Collect

Website visitors:

We collect standard web server logs including IP addresses and browser information for security and diagnostic purposes. We do not use tracking cookies or third-party analytics.

Booking inquiries (cal.com):

When you book a meeting through our scheduling system, your name, email address, and any information you provide in the booking form are collected by cal.com under their privacy policy. We receive this information to conduct the meeting.

PrivateBooks clients:

PrivateBooks is designed as a self-hosted, privacy-first product. Receipt images and financial records are processed on your own hardware and stored in your own accounts (Google Sheets, Google Drive, or local storage). OSMTech does not have access to your financial data unless you explicitly grant us access for support purposes.

AI Voice Receptionist clients:

Call recordings, transcripts, and caller information are processed by our AI voice infrastructure provider. Please contact us for details specific to your deployment.

4. How We Use Information

We use information we collect to:

  • Respond to inquiries and provide services
  • Schedule and conduct client meetings
  • Provide technical support when requested
  • Comply with legal obligations

We do not sell personal information to third parties. We do not use personal information for advertising purposes.

5. Data Storage and Residency

OSMTech operates from Alberta, Canada. We store business contact information on Canadian or Canadian-compliant infrastructure where possible.

PrivateBooks client data remains on the client's own hardware or cloud accounts. OSMTech does not store client financial data on our systems.

6. Third-Party Services

Our website and services interact with the following third-party services:

  • cal.com — meeting scheduling (privacy policy: cal.com/privacy)
  • Microsoft Azure — web hosting (Canadian region)
  • Cloudflare — DNS and network security (where enabled by client)<
  • Meta (Facebook/WhatsApp/Messenger) — messaging channels for PrivateBooks (where enabled by client)
  • Google — Sheets, Drive, and Calendar integration for PrivateBooks (where enabled by client)
  • Newo.ai — AI Voice Receptionist infrastructure

Each third-party service operates under its own privacy policy.

7. Messaging Channels (WhatsApp, Facebook Messenger, Telegram)

If you interact with OSMTech or our client deployments through WhatsApp, Facebook Messenger, or Telegram:

  • Messages are transmitted through the respective platform's infrastructure
  • Receipt images sent via these channels transit through the platform's servers before reaching client hardware
  • OSMTech does not store message content beyond what is necessary to process your request
  • You may withdraw consent to messaging at any time by sending STOP or contacting us directly

8. Your Rights (PIPEDA)

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

  • Access personal information we hold about you
  • Correct inaccurate information
  • Withdraw consent for non-essential data processing
  • File a complaint with the Office of the Privacy Commissioner of Canada

9. Data Retention

We retain business contact information for as long as necessary to provide services and meet legal obligations. Website server logs are retained for 90 days. We delete personal information upon request unless retention is required by law.
